The Auto-Advance feature built into atVenu makes it easy for Venues and Artists to connect and advance Artist merch whether the Artist is an atVenu user or not.
The Venue Rep will invite the Artist to connect and Auto-Advance when they create the show within their Venue or Festival account. The Artist Rep will receive an invitation via email to Auto-Advance with the Venue.
If you are a Luminate Reporter user, the Auto-Advance feature is not available to you. An upgrade to a Merch Mgmt package is required to take advantage of this feature. See: How do I upgrade my account? and Which atVenu package is right for me?
If the Artist is on atVenu:
Note: If you are using our point of sale, atVenu Register, and have already processed sales you will no longer be able to Auto-Advance your show.
If you're an atVenu User, you can quickly and easily select the items from your saved tour merch that you want to advance with the Venue.
- Artist Rep receives email invitation to Auto-Advance from Venue
- Click on the Auto-Advance My Merch button in the email
- When you have a pending Auto-Advance invite, a Pending Invitation notification appears next to the tour name in your Artist account
- Click the notification to view any pending Auto-Advance invitations
Show Invitation Page:
Once you click the Auto-Advance My Merch button in the email, or click the pending invitation notification within your account, the Show Invitations page will load.
If the Venue Rep did not enter the Artist name exactly as it is saved to the Artist account when they added you to their show and invited you to Auto-Advance, you will be required to select from a list of Artists you are associated with before you are able to accept the invitation.
Example:
- Actual Artist name listed on the Artist account: Chainsaw
- Venue Rep creates the show within their Venue account, and saves the Artist as: The Chainsaw
- atVenu will not be able to link the invitation to the correct account, so you will be prompted to select the correct account from a list of Artists you are associated with
If the Artist name matches, or once you select the correct account to advance from, follow these steps:
- On the Show Invitations page, select the appropriate tour from the tour dropdown selector
- Click the Accept button to continue
- You can also ignore and delete this invite by clicking Ignore
Note: Clicking Accept will add this show to your Shows page. If you have already saved this show to your routing, it will be replaced by this new show if you confirm.
- A warning will load, alerting you that the show already exists within your account
- Click on Replace to override your existing show, and continue to Auto-Advance
- Click Keep to keep your original show and decline to Auto-Advance
Auto-Advance:
Once you've accepted the invitation, you are redirected to the Auto-Advance page for the show where you'll select the items you'd like to advance with the Venue. All items you have saved to your tour will appear in this list.
All items you Auto-Advance will sync into the Venue's Counts page, complete with titles, product images, prices, and sizes, provided you have all to this information saved for the items within your account.
Note: Count In quantities are not advanced. Count In should be performed on site.
- Click Select All to advance all items, or select individual items using the circular buttons on the left
- Click the Send button, located in the utility bar at the bottom of the screen
- You will be redirected to the Counts page for the show, and see the Advanced Successful notification
- The show has now been advanced and your items have been automatically saved to the Venue's Counts page
On your Counts page, you will notice an Advance button in the utility bar at the bottom of the screen. The Advance button only appears on Counts for shows that are being Auto-Advanced.
- Hover over the Advance button to reveal the date and time the show was last Auto-Advanced
- Click the Advance button to reload the Auto-Advance page for edits
You have the ability to make changes to the item list you advanced for the show up until each item has been Counted In by the Venue. Once an advanced item has been Counted In, the item is locked, and can not be disabled. On the Auto-Advance page the item will be dim, and labeled as Counted In.
Sync Counts & Settlement data from Venue:
If you've Auto-Advanced with a Venue, you can utilize the Pull From Venue feature to sync all Counts, Payments, Show Adjustments, and Settlement values from the Venue directly into your Artist account with the click of a button.
- On the Counts page, click the Pull From Venue button from the utility bar at the bottom of the screen
- Once the data has synched, be sure to continue and complete your show Settlement. For more information, please see: Settling a show on the web (Artist Account)
- Next you will be presented with the warning below. Continuing will override any information you previously entered into your Counts page or show Settlement
If the Artist is not on atVenu:
If you are not an atVenu User, you can still use our Auto-Advance feature, but you'll need to manually enter the details of your merch items.
- Artist Rep receives email invitation to Auto-Advance from Venue
- Click on the Manually Enter My Merch button in the email
Add your Merch Items:
You'll be taken to the Merch Advance page where you can add all of the items in your merch line and advance them with the Venue.
- Click the Add More Merch button to add your first item
- Enter a title for the item
- Select a Category (Apparel, Other, or Music)
- Enter Sizes by clicking the Select Sizes header and enabling applicable sizes from the pop-up menu
- Enter Prices
- Click the Image Thumbnail to upload product images
- Click the Add More Merch button to add additional items
- Remove an image by clicking the Clear button
- Remove entire item entries by clicking the (X) button that appears when you hover over an item
- When done, click Save and your items, complete with titles, prices, sizes, and product images will be advanced with the Venue
Note: There is no confirmation screen. Once you click Save, you have advanced the items.
You can revisit this page to make changes at any time prior to Count In. Once Count In begins, no further changes can be made using the Auto-Advance feature.
