Auto-Advance is a feature built into atVenu to save you time. You won’t have to manually build out product lines for any Artist who advances using this feature. When you create a show and enter an email address for an Artist Rep, the Auto-Advance option becomes available. When an Artist is invited, they’ll receive an email with instructions for using the Auto-Advance feature.
Auto-Advance must be enabled under the Account Settings of your Venue or Festival account. If you do not see the Auto-Advance option when saving Artists to a show, follow these steps:
- Log in to your account at atVenu.com
- Click Account Settings from the slide-out menu on the left
- Click Other
- Click to enable Auto-Advance under the Link to atVenu Artist title
- Click Save
Auto-Advance Overview:
- If the Artist is on atVenu, they accept the invitation, and their product line will automatically sync into your Counts page, complete with product images if they have added them in their Artist Account, item titles, prices, and sizes
- If the Artist is not on atVenu, they can still Auto-Advance. They’re given the option to manually add their items which will automatically populate your Counts page
Note: Count In numbers are not advanced. Count In should be performed on site and Count In numbers must be manually entered.
Auto-Advancing from the Shows page:
- Create a new show on the Shows page
- Click Add Artist to save a new Artist to the show
- Enter the Artist details, including the Artist Rep's email address
- Click to enable Auto-Advance
- Click Save or click Save & New to save and add additional Artists
- The Auto-Advance invite will be sent once the Artist is saved
Auto-Advancing from Counts > Artist Control Panel:
Alternatively, you can add new Artists to existing shows, as well as send Auto-Advance invites from the Artist Control Panel within Counts.
- Click the (+) Plus button on the Artist Control Panel to add a new Artist
- Enter the Artist details, including the Artist Rep's email address
- Click to enable Auto-Advance
- Click Save or click Save & New to save and add additional Artists
- The Auto-Advance invite will be sent once the Artist is saved
Invite Accepted:
Once an Artist has accepted the invitation and advanced their items, you'll see a blue checkmark Invite Accepted indicator. You will also receive an email notification with a direct link to the Counts page for the Artist. Advanced items are now available on the Artist’s Counts page within your show.
Auto-Advancing existing Artists
If you need to add an Artist Rep email to send an Auto-Advance invite after you’ve saved the Artist to the show, follow these steps below.
From the Show:
- Edit the show and click the Artist Name or details from the Artists panel
- Enter the Artist Rep email and enable Auto-Advance
- Click Save Artist
From the Artist Control Panel:
From the Master Counts page, you have the ability to edit Artist details without the need to return to the Shows page.
- Click the Edit Artist button next to the Artist Name at the top of the Counts page
- Or, expand the Artist Control Panel by clicking the > Arrow button, and click Edit to the left of the Artist Rep info
- Enter the Artist Rep email and enable Auto-Advance
- Click Save
Resending Invitations:
If an Artist was invited to Auto-Advance but has not accepted, you have the option to resend the invite from the show, or from the Artist Control Panel within Counts.
From the Show:
- Edit the show, and from the Artists panel, click Resend Invite
From the Artist Control Panel:
- From the Master Counts page, click the Edit Artist button next to the Artist Name at the top of the page, or expand the panel by clicking the > Arrow button, and click Edit to the left of the Artist Rep info
- Click Resend Invite
